Introduction
For organizations operating digital enrollment programs, collecting signed consent documents is a critical step in the customer onboarding process. However, traditional document workflows often require users to download PDFs, sign documents separately, and upload completed files back into the system.
These fragmented experiences create friction for users while increasing administrative workload for internal teams.
Our client wanted to modernize their enrollment process by allowing users to review and electronically sign enrollment consent documents directly within their HubSpot-powered portal. They also needed every signed document to be automatically associated with the correct contact record in HubSpot without requiring any manual intervention.
Nidish designed and implemented a custom integration between HubSpot and Adobe Document Services that transformed a multi-step document process into a seamless digital enrollment experience.

Client Background
The client operates a highly structured enrollment process where prospective participants are required to review and sign legal consent documentation before progressing to the next stage of onboarding.
The enrollment experience was built around HubSpot, which served as the central platform for managing contacts, enrollment records, communications, and operational workflows.
One critical requirement involved obtaining signed enrollment consent forms and maintaining those signed documents within the participant’s HubSpot record.
The organization wanted a solution that would:
- Present consent documents directly within the enrollment process.
- Eliminate manual document distribution.
- Collect legally valid electronic signatures.
- Automatically store signed documents in HubSpot.
- Create a seamless user experience without requiring users to leave the enrollment portal.
Challenges
While the enrollment process was already managed through HubSpot, document signing remained a major operational bottleneck.
1. Consent Forms Were Not Integrated Into the Enrollment Journey
Participants needed to interact with documents outside of the enrollment workflow.
Every additional step created an opportunity for abandonment and delayed enrollment completion.
The client wanted consent collection to become a natural part of the enrollment experience rather than a separate process.
2. Manual Document Tracking Increased Administrative Work
Operations teams often spent time verifying whether consent forms had been completed and manually associating signed documents with participant records.
As enrollment volume increased, this became increasingly difficult to manage.
3. Maintaining Accurate Participant Records Was Challenging
Because signed documents were handled separately from the CRM, there was always a risk that files could be stored incorrectly or become disconnected from the appropriate contact record.
The client needed a centralized source of truth within HubSpot.
4. Document Compliance and Accessibility
Enrollment teams required immediate access to signed consent documents whenever needed.
Locating signed forms across multiple systems created inefficiencies and increased operational risk.
Our Approach
Rather than creating a standalone document-signing process, we focused on embedding document execution directly into the enrollment workflow.
Our objective was to ensure that participants could:
- Reach the Enrollment Consent page.
- Review the correct consent document.
- Sign the document electronically.
- Complete the process without leaving the portal.
At the same time, HubSpot needed to automatically receive and store the finalized signed document against the participant’s record.
This required a tightly integrated workflow between HubSpot and Adobe Document Services.
Solution
Nidish developed a custom HubSpot Adobe e-Sign integration using Adobe APIs and HubSpot’s CRM architecture.
Dynamic Document Retrieval
When a participant reached the Enrollment Consent page, the system automatically initiated a request to Adobe Document Services.
Using a predefined template ID, the integration retrieved the appropriate enrollment consent document directly from Adobe.
This eliminated the need to manually generate PDFs or upload documents for each participant.
Because documents originated from a centrally managed Adobe template, the organization could maintain consistency across all enrollment records.
Embedded Document Presentation
Once retrieved, the PDF was rendered directly within the enrollment experience.
Participants could review the entire consent document without downloading files or navigating away from the portal.
This created a significantly smoother user experience while reducing friction during the enrollment process.
Instead of managing multiple windows, downloads, or email attachments, users could complete everything from a single interface.
Electronic Signature Workflow
After reviewing the document, participants could electronically sign the consent form using Adobe’s signing capabilities.
The signature process was embedded directly into the enrollment workflow.
This ensured that document execution occurred as part of the onboarding experience rather than as a disconnected task.
The result was a streamlined process that improved completion rates and reduced participant confusion.
Automatic Signed PDF Generation
Once the signature process was completed, Adobe automatically generated the finalized signed version of the consent document.
The integration then received the executed PDF through Adobe’s APIs.
This eliminated the need for staff members to manually collect, rename, organize, or upload completed files.
Automatic Synchronization to HubSpot
The most critical component of the solution involved synchronizing the signed document back into HubSpot.
Upon receipt of the finalized PDF, the integration automatically attached the signed document to the participant’s HubSpot contact record.
This ensured that:
- Enrollment teams could immediately access signed documents.
- Every document remained associated with the correct participant.
- No manual uploads were required.
- Compliance records remained centralized.
HubSpot became the single source of truth for participant information and signed enrollment documentation.
Implementation Highlights
The custom integration included:
